Administrative Assistant - West Houston

The ideal candidate for this position is very flexible, able to multi-task, and takes direction very well.  They are seeking an Administrative Assistant with Receptionist responsibilities as well  who is highly detail-oriented and self-motivated with exceptional customer service and people skills. 

Compensation:  $43K to $45K; DOE

Responsibilities
  • Answer phones and route calls accordingly
  • Greet guests and provide guidance as necessary
  • Provide general administrative and clerical support including mailing, scanning, faxing and copying to management
  • Assist Accounting Department as demand dictates based on work flow
  • Maintain electronic and hard copy filing system
  • Open, sort and distribute incoming correspondence
  • Perform data entry and scan documents
  • Manage calendar for management as needed
  • Assist in resolving any administrative problems
  • Run errands to post office and office supply store and any other that is needed
  • Answer calls from customers regarding their inquiries
  • Prepare and modify documents including correspondence, reports, drafts, memos and emails
  • Schedule and coordinate meetings, appointments and travel arrangements
  • Maintain office supplies for department
  • Maintain database information and ensure integrity
  • Assist with follow ups as needed to support management

Requirements
  • High school diploma required
  • 5 to 10 years of hands on administrative support experience
  • 2 to 3 years of experience in a receptionist role
  • Familiarity with Accounts Payable and Accounts Receivable
  • Proficiency in MS Word, MS Excel and MS Outlook a must
  • Knowledge of operating standard office equipment
  • Excellent communication skills – written and verbal
  • Ability to prioritize projects and strong problem-solving skills
  • Good research skills and very strong attention to detail
  • Strong sense of urgency
  • Ability to compose letters, emails and correspondence
  • Efficiency in multi-tasking
  • Initiative and ability to self-manage and self-start
