Successful boutique firm  is currently interviewing for an Executive Administrative Assistant  to join the team.  The focus of this position is to enhance the executive’ s effectiveness by providing information, system and administration management support, supporting, and representing the executive to others. Salary: $60, 000-70, 000+ benefits

Location: Galleria, Houston 

Responsibilities:
  • Handle a wide range of administrative and executive support related tasks:
  • Streamline administrative procedures, provide solutions to any issues, explore ways to maximize efficiency, and ensure an organized office environment at all times
  • Reconcile monthly firm expenses to invoices and/or receipts and prepare employee expense reports
  • Ensure pantry is stocked, kitchen is tidy, manage inventory of office supplies and order lunch on a daily basis for the team
  • Schedule meetings and manage team’ s calendars; answer telephone calls
  • Book travel and manage other logistical matters for the team
  • Plan special events such as annual team trips, holiday parties and investor meetings
  • Handle occasional personal errands or requests for team
  • Manage relationships with outside parties, including our vendors and clients:
  • Lead coordinator with numerous service providers, including IT and building management
  • Integral member of the non-investment team, supporting CFO and Investor Relations in a wide variety of tasks. Interact with our Investors over phone, email and in person. Provide general support to all visitors in our office

  Requirements:
  • Minimum 7  years Executive Assistant experience
  • Able to work independently with little or no supervision: self-driven pursuit of excellence
  • Energetic professional who is comfortable wearing multiple hats and reporting to multiple team members
  • Ability to manage ad-hoc requests, think quickly and be flexible during periods of uncertainty given the wide range of potential responsibilities
  • Development focused and comfortable with receiving and giving feedback
  • Excellent time management skills
  • Proficiency in MS Office is a must
