A national financial services firm has an immediate need for an Executive Assistant with some experience in HR  to join their Austin office. The ideal candidate has 10+ years as an Executive Assistant. This is a Direct Hire role with opportunity for advancement.

Location: Austin, Texas

Salary: $55, 000 - 65, 000

Responsibilities:
  • Extensive calendar management and coordination;  approaching scheduling in a proactive manner
  • Assisting with administrative tasks; including filing and documentation preparation
  • Assisting with booking travel and accommodation
  • Supporting on various business projects and ad-hoc responsibilities
  • Support the Global Head of HR (London based) with recruitment coordination and candidate management.
    • Daily scheduling of vendor meetings and candidate interviews via phone, video conference or in person, across multiple time zones.
      Maintain and track all interview activity via ATS
  • Manage pre-employment screening and background checking processes, as required
    Manage on-boarding processes for all Austin and New York employees 
  • Prepare HR related documents: employee obligations and agreements, HR forms, vendor agreements, and termination paperwork.

Requirements:
  • Experience of working in a fast-paced environment in a Personal Assistant, HR Assistant, or Office Assistant, capacity is crucial
  • Previous experience within HR would be beneficial
  • Previous experience in working in a standalone role, where proactivity is imperative, as is previous diary management experience
  • Strong knowledge Microsoft Office (Word, Excel and PowerPoint)
  • Good interpersonal and communication skills, when dealing with people at all levels of seniority
  • To be reliable and discrete when dealing with confidential information
  • To be a quick thinker and detail orientated person
  • The ability to adapt to different scenarios on a frequent basis is important
  • Previous experience of working in Finance or Commodities would be a plus
