Legal Administrative Assistant

A local consulting company providing environmental and engineering services is seeking a Legal Administrative Assistant  to assist with the consistency, uniformity, versioning and storage of electronic documents.

Compensation: $45K to $60K

  • Provide administrative support to the VP as well as other areas of the organization
  • Manage deliverables for the VP ensuring preparation for the day as well as upcoming deadlines
  • Manage the document and control repository for all documents and templates internally ensuring standardization of documentation
  • Lead the lifecycle management of all procedural documents in the electronic document management system
  • Review documentation for consistency, fluidity, clarity and accuracy
  • Support the process for creation, approval, periodic review and obsolescence of procedural documents
  • Handle a large caseload/multi-task and prioritize work setting priorities that align with client deliverables as well as milestones set by management
  • Work independently or in a team environment as necessary to accomplish work product
  • Track deadlines to ensure work deliverables are met
  • Work with appropriate staff to optimize documentation integrity across the company
  • Participate in meetings as required
  • Manage file size, duplicates, records retention, document location, document ownership, etc.
  • Act as the point of contact between the executives and internal/external clients
  • Undertake the tasks of receiving calls, take messages and routing correspondence
  • Handle requests and queries appropriately
  • Arrange meetings and appointments and provide reminders
  • Make travel arrangements
  • Take dictation and minutes and accurately enter data
  • Produce reports, presentations and briefs
  • Develop and carry out an efficient documentation and filing system

  • A minimum of a Bachelor’ s Degree is required, preferably in Business Administration or Computer Technology
  • Functional knowledge and experience in systems within the Energy sector is preferred
  • Expert knowledge of electronic document management systems and experience with SharePoint is a plus
  • Experience managing risks, including escalation, prioritization and resolution of systems and support issues and developing/managing responses is preferred
  • Showing initiative in innovative approaches to challenges in a fast-paced, changing environment is required
  • Procurement knowledge and vendor management skills, change management and project management skills, business acumen, and financial background are preferred
  • Strong communication, organization and prioritization, collaboration and influencing skills to partner effectively at all levels and across multiple groups are required. Ability to build relationships with teams across the organization is required.
  • 5+ years of experience in an Executive Assistant, Paralegal, Legal Secretary, Legal Document Review role
  • Must possess Intermediate to Advanced level knowledge with Microsoft office products to include Word and Excel
  • Highly detailed oriented with excellent organizational skills and a very strong initiative
  • Full comprehension of office management systems and procedures
  • Exemplary planning and time management skills
  • Up-to-date with advancements in office gadgets and applications
  • High level verbal and written communications skills
  • Discretion and confidentiality with a high degree of ownership to the organization
  • Critical thinking and problem-solving skills
  • Advanced knowledge of shared files and file organization
  • Ability to work overtime as needed to meet deliverables
