Project Coordinator

A leading provider of workspace products and services in Houston is adding a Project Coordinator to their growing staff.  They are seeking a dynamic self-starter who has a passion for the coordination of design projects.

Compensation: $60, 000 to $70, 000 annually

Responsibilities
  • Prepare order for salesperson/customer
  • Prepare proposal with verified SIF codes, revenue codes, vendor profiles, freight lines, etc.
  • Acquire signed Proposal as well as Terms and Conditions from Customer
  • Verify key chart, install drawings, and other necessary documentation
  • Confirm sales quote is active and/or renew sales quote if expired
  • Verify discount on sales order ensuring products fall within budget and meet overall gross profit goal
  • Upon confirmation of approved drawings, submit order for materials
  • Request installation quotes and insert cost into appropriate software
  • Maintain job completion status in appropriate software indicated completed as applicable
  • File product claims and file labor back charge claims with vendors
  • Prepare the back-charge proposal and add the back-charge request to the appropriate systems to be processed by purchasing
  • Create and submit punch list
  • Verify and ensure the ship date is acceptable lead-time for the job as well as ensuring the ship to address is correct
  • Coordinate project install dates with Sales
  • Manage the ship dates for each individual job, requesting updated ship dates when necessary and documenting as revised
  • Confirm PO requests from labor companies are correct and dates are appropriate with respective salespeople
  • Coordinate additional labor as necessary

Requirements
  • Previous experience in furnishings, leasing build outs, and/or modular furniture preferred
  • Three years' work experience in a purchasing or project coordination role
  • Experience with software such as Microsoft Word, Excel, Smartsheet, Project Matrix, and/or Team Design a plus
  • Familiar with industry standard specification tools and MS Office
  • Ability to clearly and professionally communicate with team members and clients both verbally and in writing
  • Maintain professional behavior on daily basis, preserving self-confidence, motivation, and self-esteem of others
  • Offer " off the cuff" solutions for problems or issues that arise; works collaboratively with others and be a strong team player willing to take on new processes
  • Proactively build effective working relationships with others seeking to understand others, enhance others’ ideas, and place higher priority on team or organizational goals than on own goals taking prompt action to accomplish objectives
  • Multitask between projects as necessary to maintain up-to-date information and keep all parties involved in the loop
  • Work effectively on multiple projects while managing deliverables and communicating work output accordingly
